Committee roles

The Club Executive consists of the President, Vice President, Treasurer, Club Captain and Secretary. In addition, other non-executive positions and volunteers would be welcomed to the team.

President

The President’s functions include, but are not limited to—

  1. Be well informed of all the club’s activities
  2. Ceremonial Duties such as awards and speeches
  3. Manage (chair) committee and/or executive meetings
  4. Manage (chair) the annual general meeting
  5. Acting as a mediator and arbitrator
  6. Representing the club to outside parties
  7. Take a lead role in planning
  8. Act as a facilitator for club activities
  9. Ensuring there are opportunities to participate for all club members
  10. Take a lead role in club sponsorship
  11. Primary liaison between the Club and the Centre

Vice President

The Vice President’s functions include, but are not limited to—

  1. Be well informed of all the club’s activities
  2. In the absence of the President, the Vice President will:
    • Manage (chair) committee and/or executive meetings
    • Manage (chair) the annual general meeting
    • Represent the club to outside parties
    • Ensure all responsibilities of the President are undertaken as required

Treasurer

The Treasurer’s functions include, but are not limited to—

  1. Prepare budgets and projections
  2. Implement cash management procedures
  3. Provide timely information to the committee and members
  4. Oversee or undertake the financial transactions of the club including:
  5. Club bank account(s)
  6. Pay approved expenditure
  7. Collect all moneys due
  8. Record and report on the actual transactions
  9. Where the club requires an audit or review, ensure they are completed in time for financial reports to be presented to members at the Annual General Meeting
  10. Produce the annual financial report to members
  11. Undertake all legislatively required reporting and submissions

Club Captain

The Club Captain’s functions include, but are not limited to—

  1. Coordinate and select representative teams for competition
  2. Facilitate activities for competition including:
    • Food and beverage
    • Raffle tickets and prizes
  3. Annually review the yearly club competition calendar
  4. Liaise with Committee of Management and coordinate the activities of major competition events
  5. Encourage member participation in competition events at the club
  6. Ensure members of the club act in accordance with the rules
  7. Actively encourage team and individual competition participation from club members
  8. Takes a leading role in promotion of adherence to association rules
  9. Monitoring of the club email

Secretary

The Secretary’s functions include, but are not limited to—

  1. Calling meetings of the Club
  2. Preparing notices of a meeting and of the business to be conducted at the meeting in consultation with the President of the Club
  3. keeping minutes of each meeting
  4. keeping copies of all correspondence and other documents relating to the Club.
  5. Ensuring the liquor license is renewed each year

Volunteers

Volunteers for other duties would be welcomed, some mentioned below.

  1. Bar services
    • Ordering alcohol
    • Stocking the fridge
    • Emptying the recycle bins
  2. Food services
    • Purchasing pizzas
    • assisting with events
  3. Raffle
    • Collecting raffle prize each week
    • Buying raffle tickets
  4. Tournaments
    • Advertising
    • Tournament director
    • Assist with prizes
  5. Social event
    • Come up with ideas
    • talk to members about their ideas
    • assist in organising event
